How do I organize receipts and AI work records for quarterly estimated taxes?
Organise by quarter, in a 30-minute pull at each quarter's end: export the quarter's job index rows (income side, with delivery links), the quarter's AI cost list (passes, subscriptions, per-call charges), and any agent spend summary, filed together under the quarter's name. Review the receipt and actual deliverable before accepting a handover.
Scope: general information about organising records, not tax advice. Estimated-tax obligations, categories, and deadlines are set by your jurisdiction and your accountant.
Quarterly estimated taxes create a rhythm that annual record-keeping cannot serve: four times a year you need the income picture and the deductible-cost picture for a defined period, and "I will reconstruct it later" compounds four small debts into one large December liability of time. The quarterly pull is sized to the rhythm: thirty minutes, three artefacts, one folder per quarter.
The job index does the income side because it already exists for delivery reasons: the quarter's rows are the quarter's billed work, each with its delivery record and acceptance date behind the figure. The cost list is the discipline's only genuinely new habit: every AI charge of the quarter, swept from statements and the pass history, dated and totalled, including the small ones (Day Passes bought per job are the easiest costs to lose and the most clearly business-shaped). Agent spend completes the picture where agents transacted for the business.
File the quarter and send it to your accountant as it closes if they work quarterly; if they work annually, the four folders are the year-end package's skeleton, and the accountant page in this set describes the rest. Either way the person who benefits most is you in the following quarter, estimating from records instead of from a feeling about how the business is doing.
Template: the quarterly pull
Folder name: [Year]-Q[n]. Item 1, job index extract: the quarter's rows (client, invoice, amount, date, delivery link, acceptance date). Item 2, AI cost list: every charge in the quarter, dated, grouped by tool, totalled. Item 3, agent spend summary: totals and any refunds or credits. Item 4, notes: anything unusual in the quarter, in at most five lines. Calendar rule: the pull is scheduled for the first week after each quarter ends, before the estimate is computed. Year rule: the four folders plus the year-end notes are the accountant package's base.
Worked example
The income rows resolve to records like https://zambo.dev/handover/45434a17-4afc-486a-9646-e689bcee4297 , accepted with its dates visible. A quarter whose rows all resolve like that can be estimated, filed, and later defended without a single chat being reopened, which is the entire point of organising quarterly instead of annually.
Frequently asked questions
I am behind by two quarters. How do I catch up?
Rebuild the older quarter from invoices and statements first (it feeds the estimate you owe soonest), then the current one, marking rows whose delivery records are missing. Two honest folders beat four fictional ones, and the habit starts clean from this quarter forward.
Do I need to keep the receipts themselves, or are the figures enough?
Keep the records behind the figures: the index rows carry their delivery links for exactly this reason. Figures answer "how much"; records answer "for what, delivered when, accepted by whom," and the second set of questions is the one that arrives in any review.
My income is mostly not AI work. Does this still apply?
The pull covers the AI-shaped slice: AI-assisted income rows and all AI costs. The rest of your quarterly organisation stays as it was; this page's method is an addition for the slice that ordinary bookkeeping describes worst.
